Your practice profile

Your practice profile holds the office identity that appears on the state filing worksheets you generate — so it’s worth filling in before your first filing.

Point at the Practice rail head in the sidebar and choose Practice info from its hover card, or click Practice and pick the Practice info tab. (The Practice head appears for practice Admins.)

The page captures:

  • Office Name
  • Office Contact — the member callers and registrars should be directed to.
  • Address (Street), City, State (Province), and Zip
  • Office Phone
  • Billing email — where receipts and payment notices are sent. Leave it blank to use a practice admin’s own address.
  • Timezone — used whenever dates and times are shown for this practice.

Choose Save to apply your changes. Your office name, contact, and address are what the WA / OR / VT worksheets and the parentage affidavit print, so a registrar can reach your office.

Every practice has a signed Business Associate Agreement (BAA) with BirthTracks, and you can read your practice’s copy right in the app — there’s no need to email support for it.

The agreement has its own tab under the Practice head: point at Practice in the sidebar and choose Business Agreement from its hover card, or click Practice and pick the Business Agreement tab (next to Practice info, Billing and Custom fields). Like the rest of practice settings, it’s available to practice Admins.

The page shows:

  • A signed-copy line — “Signed copy for <your practice>, recorded <date>” — recording the covered entity the agreement is for and the date it was executed for your practice.
  • The full text of the BirthTracks Business Associate Agreement — the same agreement every practice signs.

The Business Associate named in the agreement is Neighborhood Technologies LLC dba BirthTracks. The signed copy is a permanent record — it can’t be edited from the app — so it stands as your evidence that the agreement is in place.

A BAA covers the protected health information (PHI) BirthTracks handles on your behalf. It is not the same thing as the in-app Messages feature or the Help & support chat: those are tools inside the app, not agreements, and the support chat is a non-PHI channel you should never put patient information into.

A provider can be a member of more than one practice — for example, if you work with two groups, or you were invited into a colleague’s practice and also run your own. When you belong to more than one, your practice’s name at the foot of the sidebar becomes a practice switcher: open it and pick the practice you want to act in. Everything you see and record is scoped to the practice you’re currently in.

If your account was created from an invitation, you belong to the practice that invited you but don’t own one of your own yet. To start one, open the practice switcher and choose Start your own practice (at /practice/start).

Your new practice needs its own subscription — you’re taken to choose a plan next, and until it has one the app asks you to subscribe rather than letting you back in on your current practice’s plan. You keep your membership in the original practice and switch between the two from the practice switcher at the foot of the sidebar.
